As a result, the implementation of knowledge management (KM) systems is growing. According to Gartner, 75 percent of enterprises will have implemented formal management of intellectual capital with KM processes in key business units by 2010.

Knowledge inherent to business processes, often called knowledge, is any information essential to the daily functions of an organization. knowledge can be found in company databases, management documents, history files, and inside the minds of employees.

Often, pieces of knowledge are dispersed throughout an organization in unconnected databases. Bringing these disparate sources together creates the KM system, which is designed to collect, organize, and process knowledge into usable forms for all employees.

The term ’service knowledge management system’ has been used as a new IT buzz phrase, although businesses have been tracking knowledge for decades. knowledge can be tracked by records kept in company ledger books or databases in individual departments.

The closest many companies come to maintaining accurate and up-to-date knowledge is through localized database products like Access, or cheap-to-implement solutions like wikis. While these systems can provide the team-driven and ease-of-access aspects of knowledge management, they are not actually KM systems and lack several critical elements.

Will Aeternis KMS solve all of our support issues?Let's start with a truism: An KMS is not a toy. Rather, it is a strategic investment made by your organization to capture and disseminate intellectual capital and, in the process, remain competitive. Any intranet-planning effort, therefore, must carefully map out long-term resource needs for continued maintenance.

Organizational knowledge-sharing initiatives sometimes fail because too much emphasis is placed on what technology can achieve rather than on what users actually need. A more successful approach is to avoid guiding projects by promises of what technology alone can deliver. At every stage of the process, decision makers need to consider whether a new technology feature supports overall objectives, or is merely an option that could complicate the tool, distract users or result in serious technical-support issues. For this reason, we offer the business strategy and implementation guidelines that support the technology solution. One cannot be successful without the other!

Given the diversity of corporate environments and needs, there is no one-size-fits-all prescription for "the right" content and tools. One general rule, however, does apply: The more directly a knowledge-sharing tool is tied to user needs, the more likely it is to be widely used. The purpose of Aeternis KMS is to enhance existing processes, not to create a separate activity. Knowledge-sharing initiatives should, therefore, start with a candid assessment of the tools employees may be lacking to improve their job performance, as opposed to preconceived notions of what would be nice to have. Is it possible to integrate our other intranet applications into the KMS interface?The primary thing to consider is if those tools are focused on knowledge or information sharing.
Users are interested in finding — not searching for — the right information without delay. A good KMS is therefore built on the premise of avoiding the frustrations of information overload whenever possible through a logical site structure, functional search engine and a content-management approach that values quality over quantity. Do your existing applications appeal to the entire business? Experience shows that intranet tools implemented to satisfy small groups of users with highly specialized needs often fail. The added complexity of putting every IT solution into one solution can result in dissatisfaction among the user majority. That is not to say you cannot cross link platforms, and we can certainly assist you in converting other tools or sites over to a similar look and feel, whatever design you choose.
Knowledge and information-driven applications such as wikia, CMDBs, process catalogs, style guides, and so on are easily integrated - and can possibly even be replaced in functionality - with Aeternis KMS. We also have experience integrating tools such as GetSatsifaction (for collecting and management of your public customer-based feedback), Moodle, Trellis Support Desk, Google Apps, AJAXWorkspace, Basecamp, and many more.

How is the application updated?The core application is updated whenever an update is released for the APIs used, or when we fix a known bug. If you are using the app without support, you will need to download updates yourself.

Some add-ons are updated undependently of the core application. These are available via download from us, or if they are a 3rd party add-on, they are updated in-line from the administration control panel.

The application provides support for direct update via supplied credentials to your web server, otherwise you can upload the files to the server manually. Updating is then as easy as hitting the Update link next to each Add-on in the control panel.
